- Account and sign-in
- Name, email, and authentication identifiers.
- Billing data
- Subscription and payment status (card data is held by our billing provider).
- Workspace and team
- Membership, roles, and workspace identity.
- Uploaded contract files
- Signed agreements you upload (PDF, DOCX).
- Extracted text and reviewed fields
- Document text and the fields your team reviews.
- Operational records
- Tasks, approvals, obligations, reminders, and evidence.
- Activity and audit events
- Who did what, with actor and timestamp.
- Exports and reports
- CSV exports and operational reports you generate.
- Access requests and contact messages
- What you send through public forms.
- Technical and security logs
- Request metadata and error diagnostics.
Purpose
Why we process it
We use this information to provide the signed-contract follow-up features you configure, to authenticate users, to enforce workspace boundaries, to send the operational notifications you enable, and to keep the service secure and reliable.
AI and review
AI-assisted extraction
Where you use extraction, uploaded files or extracted text may be sent to an AI provider only to suggest operational fields. A source snippet backs each suggestion where available, and values are not trusted until your team reviews and approves them. Oblixa does not provide legal advice.
You remain responsible for only uploading data your organization is authorized to process.
Service providers
Providers and subprocessors
We rely on service providers (subprocessors) to operate Oblixa — for hosting and storage, email delivery, billing, and AI-assisted extraction. We work to limit each provider to the data needed for its function.
Access controls
Access and workspace controls
Workspace data is visible to members of that workspace, scoped by role. Cross-workspace access is blocked. Authorized Oblixa support may access data only with controls and audit when needed to operate or troubleshoot the service.

Retention
How long records are kept
Retention depends on your workspace configuration and administrative actions — exports, deletions, and contract lifecycle in the product. Administrators control retention through in-product tools and organizational policy. Some records, such as audit history, are retained to keep the service secure and accountable.
Your data
Your rights
Your rights over personal data — to access, correct, delete, or export it — depend on your jurisdiction. In the product you can export contract records and reports as CSV, and workspace data deletion is available by request.
Many operational records are controlled by your workspace administrators — contact your admin first, then use the contact path below.
Children
Intended for business use
The service is not directed to children and is intended for business use.
